Engage Spot for Church (“us”, “we”, or “our”) operates the Engage Spot for Church web application (the “Service”). This page informs you of our policies regarding the collection, use, and disclosure of personal data when you use our Service and the choices you have associated with that data.
1. Information We Collect
We collect several types of information for various purposes to provide and improve our Service to you. The types of information collected may include but are not limited to:
- Personal Data: Email, name, phone number, and any other form data you provide.
- Usage Data: We may also collect information on how the Service is accessed and used. This may include your computer’s IP address, browser type, browser version, and other diagnostic data.
2. Use of Data
We use the collected data for various purposes:
- To provide and maintain the Service.
- To manage your registrations and subscriptions.
- To communicate with you about events, services, and updates.
- To improve the Service.
3. Payments
We use third-party services for payment processing. We will not store or collect your payment card details. That information is provided directly to our third-party payment processors whose use of your personal information is governed by their privacy policy. Our current payment processor is Stripe. Its privacy policy can be viewed on Stripe’s website .
4. Analytics
We use Fathom Analytics, a third-party service, to monitor and analyze the use of our Service. Fathom Analytics is a privacy-focused analytics service that does not use cookies and does not collect personal data. 5. YouTube and Google Data
Engage Spot Studio uses YouTube API Services. A church admin can connect the church’s YouTube channel to Studio with Google sign-in. By using this feature, you agree to the YouTube Terms of Service . Google’s use of your data is governed by the Google Privacy Policy .
What Studio accesses. When you connect a YouTube channel, Studio reads the church’s channel information, its videos (such as sermon and message livestreams), and their captions. Studio downloads the source video and captions to create short clips (“shorts”).
What Studio changes. Studio uploads shorts to the church’s own YouTube channel and schedules when they are published. Studio only acts on the channel that the church connected.
How we use this data. We use YouTube data only to provide Studio features to the church. To find the strongest moments and frame each short, we send caption text and still frames from the video to OpenAI. OpenAI acts as our service provider for this feature only. When a church uploads a message video to Studio, we send its audio to ElevenLabs, our speech-to-text provider, to create a transcript. ElevenLabs processes the audio only to provide this service. We do not sell YouTube data. We do not use it for advertising. We do not use it to train general-purpose AI models.
Engage Spot’s use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy , including the Limited Use requirements.
Storage and security. We store Google access and refresh tokens in encrypted form. We store Studio videos, audio, captions, transcripts, still frames, and shorts, and the related OpenAI requests and results, on Amazon Web Services.
Retention. We delete source videos, extracted audio, and video frames automatically 30 days after the video is ready, or 30 days after it was uploaded if processing failed. We keep transcripts and finished shorts until the church deletes them or deletes its Engage Spot account. We delete unused YouTube sign-in attempts automatically.
Disconnecting and deletion. A church admin can disconnect YouTube at any time in Church Settings > Integrations. When you disconnect, we delete and revoke our Google tokens. Disconnecting does not delete videos, transcripts, or shorts that are already in Engage Spot. A church can delete a message video at any time. This removes its source video, transcript, frames, and shorts from Engage Spot. Shorts that are already published to YouTube stay on YouTube. You can also remove Engage Spot’s access from your Google Account permissions page . To ask us to delete the church’s Studio data, email support@engagespot.church .
6. Transfer of Data
Your information, including personal data, may be transferred to and maintained on servers located outside of your state, province, country, or other governmental jurisdiction where the data protection laws may differ from those in your jurisdiction. Our primary servers are located in the United States and backups may be stored in Canada.
7. Disclosure of Data
We may disclose your personal data to our third-party service providers for the purposes outlined in this policy. These third parties include but are not limited to Fathom Analytics, Amazon AWS, Railway Corp. for server operations, Stripe for payments, and OpenAI and ElevenLabs for Studio features.
8. Data Security
Your data security is important to us. We employ modern software tools and password encryption to secure your data. However, no method of transmission over the Internet or method of electronic storage is 100% secure. While we strive to use commercially acceptable means to protect your personal data, we cannot guarantee its absolute security.
9. Data Retention
We retain your personal data indefinitely or as long as necessary for the purposes set out in this Privacy Policy.
10. Your Data Protection Rights
You can manage your registrations and subscriptions through the church dashboard where you registered. You also have the right to request access to, update, or delete your personal data. Send these requests to support@engagespot.church .
11. Changes to This Privacy Policy
We may update our Privacy Policy from time to time. We will notify you of changes by posting the new Privacy Policy on this page and updating the “last updated” date.
